AIIDE Conference Abstract and Paper Submission Form

(For Authors with ACCEPTED Papers Only)

Papers received after the August 12 submission deadline may not be published; special handling fees will apply to late replacements

The submission deadline is past. If you have a problem with an earlier submission, you must notify AAAI Press (NOT the conference chairs or organizers). Please do so by sending e-mail to mh [at] aaai [dot] org. If it is not too late, we will replace your submission. Unfortunately, a special handling fee will apply.

What Electronic Files to Submit

If you used LaTeX to create your paper, you must submit the following as a single compressed tar, zip, or stuffit archive (.gz, .z, .zip, .sit) (DO NOT USE ACE)

  1. A high resolution PDF file.
  2. A single LaTeX Source text file named with your family name (e.g. Newell.tex if your family name is Newell) created using aaai.sty. The source file should contain the entire source, including the bibliography and references (i.e. you will need to copy the .bbl file and paste it into the .tex file; you will also have to combine all your source files [if you split it up] into one).
  3. Copies of all style (.sty) files used in creating your paper (even the ones that are commonly used).
  4. All the figures referenced in your source.
  5. A dvi file generated by the above LaTeX source, if possible (if you include a dvi file, we will try to use this first).
  6. Any other source files required for recompiling your paper

If you used Word, you must submit the following as a single zipped or stuffed archive:

  1. A high resolution PDF file.
  2. Word Source

Warning: If you don't submit ALL your source files, we won't be able to include your paper in the proceedings.

If you did not read all the instructions, please stop now! Submitting a file that is unusable may result in the exclusion of your paper from the proceedings or reformatting fees. Go back and read all the instructions!

Entering Your Abstract

To successfully enter your abstract, please follow a few simple rules.

  • Use ascii characters only (no “smart” quotes, accents, umlauts, or other nonstandard characters).
  • DO NOT cut and paste your abstract from Word. Please convert nonstandard characters (like quotation marks, apostophes, accents on characters, and dashes) to their HTML equivalents (for assistance, see the Web Design Group’s help site).
  • Use HTML for any special characters (like mathematical symbols)
  • Eliminate control characters (like linefeeds); if you submit the abstract, and then find yourself staring at a blank form and can't submit your paper, that's the reason
  • Change LaTeX codes to HTML, and convert LaTeX quotes to standard quotes, etc.
  • Omit references and citations

Naming your Compressed Paper Archive File

Now that you have entered or pasted your abstract in the form, it's time to get your electronic source files archive ready to submit as well. First, gather all the source files and your high-resolution PDF. Create a compressed archive of the files (if you tar them, please name the directory with your surname and first initial). Please look one final time at the proofreading checklist. Did you check your paper? Did you ensure that all the supporting files are included? To avoid problems later (that may result in the exclusion of your paper, or additional author charges), please check everything again!

The file naming convention is important, so if your paper is not named according to the convention that follows, please rename your file, the directory in which it resides, and the primary source file. Warning: If you call your paper or your file archive aaai.pdf or aiide.pdf, or paper.pdf or something equally generic or cryptic, it is going to be lost.

Please locate and rename your compressed electronic file so that it includes the following elements (in this order):

  1. AIIDE
  2. The Event Number (1, 2, 3, etc.; the event number is the two-digit number in parentheses following the event name you selected above)
  3. Principal Author's Surname and First Initial (use mixed case)
  4. The paper number assigned to you
  5. Filetype extension (.gz or .zip or .sit or .z or whatever is the correct suffix for the compression method that you used for your archive)

Thus, a zip archive of a research track paper by A. Newell for the AIIDE Conference, assigned paper number 2342 would be called:

  • AIIDE1NewellA2342.zip

If you are submitting more than one file under the same author's name, be sure to use the correct paper submission number (they are all different) so that you don't erase one of the submissions. For example:

  • AIIDE1NewellA2342.zip
  • AIIDE1NewellA2357.zip

IF YOU DON'T NAME YOUR FILE PROPERLY, IT MAY GET LOST AND WON'T BE PUBLISHED

Acknowledgement of Receipt

We regret that the volume of submissions makes it impossible for us to personally acknowledge receipt of your paper or copyright form. Please do not e-mail us or call us with this request. You will receive confirmation of successful upload via your browser (if this page does not display after your submission, the upload was not successful and you must try again). If we have a problem with your file (or are missing your copyright form), we will contact you.

In Case You Find Errors in Your Paper

If you discover that your paper has errors, you may upload your paper archive again. Use the exact same filename. You will be overwriting the abstract and paper archive, so please fill out the form again completely. After the paper deadline, no corrections can be accepted. If you submit your paper more than once, it is possible that the wrong version will be published. To avoid this, check your paper carefully and SUBMIT ONLY ONCE unless it is ABSOLUTELY necessary.

Submit

You are now ready to complete your submission. Once you click on the “submit” button that follows, your abstract will be submitted and you will be taken to another screen that will instruct you to locate and upload your paper. Please do not quit your browser until the entire process is complete and you receive an on-screen confirmation.

If you'd like to start over or quit without submitting your information, click on the “clear” button.
